Quick Check (Start Here)

If a student can’t access a file, it’s almost always one of these:

  • The file is unpublished
  • The folder the file is in (or a folder above it) is unpublished
  • The file has availability dates
  • The file is only available with link (and not linked anywhere)

Tip: If something isn’t working, it’s usually because the file—or the folder it’s in—isn’t published (or a folder above it isn’t).

Step 1: Check File and Folder Publishing

Go to Files and confirm:

  • The file has a green checkmark
  • The folder the file is in (and any folder above it) also has a green checkmark

If a folder is unpublished, everything inside it is hidden—even if the file itself is published.

Step 2: Check How Students Access the File

Students can access files if they are:

A file may still be inaccessible—even if it’s published—if:

  • It’s set to “Only available with link”
    • It will not appear in the Files area for students—they can only access it if you link it somewhere (e.g., Module, Page, Assignment).
  • It has availability dates
    • Students can only access it during the set date range. Before the start date, it will appear locked.
  • The course is unpublished
    • Students cannot access anything in the course until it is published.

Step 4: Confirm with Student View (Recommended

Using Student View is the most reliable way to check.

  1. Click Student View.
  2. Navigate to where students access the file (e.g., Modules, Page, etc.)
  3. Open the file to confirm it works.

If You Hide the Files Area

  • Students cannot browse Files directly but they can still access files through Modules or if you link it somewhere (e.g., Module, Page, Assignment, Quizzes).
  • The same publishing rules apply:
    • The file must be published.
    • The folder the file is in (or a folder above it) must be published.

Recommended Workflow

  1. Upload files and organize them using folders in the Files area.
  2. Publish the file and the folder it’s in (and any folder above it).
  3. Add files to Modules, or link them directly in the Rich Content Editor when creating assignments, discussions, quizzes, or pages.
  4. Use Student View to confirm access.
